Meeting bot issues

Check the following:
  • Calendar connected? Go to Settings → Integration and confirm Microsoft Outlook shows “Connected.”
  • Auto-join enabled? Go to Settings → Bot Preferences and make sure Auto-join Mode is set to “Join all meetings.”
  • Meeting has a video link? The calendar event must include a Teams, Zoom, or Google Meet join link. Events without a video link are skipped.
  • Meeting started on time? The bot joins when the scheduled meeting time begins. If the meeting started early or the time was changed, the bot may miss it.
If the meeting was very short (under a minute) or had no meaningful speech, the AI may not generate a summary. You’ll see a message indicating there wasn’t enough content to summarize.If the meeting had substantial discussion and no summary appeared, try refreshing the page. If the issue persists, contact support@fano.ai.
Make sure the bot has permission to access meeting audio. In some video conferencing setups, the meeting host may need to admit the bot from the waiting room or grant recording permissions.

Transcript and summary issues

Speaker identification is based on voice detection and may not always be perfect, especially in meetings with many participants, background noise, or people speaking over each other. This is a known limitation that improves with meeting audio quality.
Check your Summary Language setting in Settings → Profile & Preferences. Changing this setting affects future summaries. To regenerate an existing summary in the new language, switch the template dropdown to any template — it will regenerate in your updated language.
If participants were speaking very softly, using a poor microphone, or there was significant background noise, some speech may not be captured. For best results, ensure all participants have clear audio input.

Account and access issues

Check your spam, junk, or promotions folder. The email comes from Fano with the subject “You’ve been invited to join [Company Name] on Fano Summary Agent.” If you still can’t find it, ask your company admin to verify the email address and resend the invitation.
On the login page at meetings.fanocloud.com, click “Forgot Password” and follow the instructions to reset it via email.
Your email address is set by your company admin and cannot be changed from your profile. Contact your admin to update it.

Calendar and integration issues

Try disconnecting and reconnecting in Settings → Integration. Make sure you’re granting the required permissions during the Microsoft sign-in flow. If pop-ups are blocked in your browser, allow them for the Fano Summary domain.
Meetings only appear after the Fano bot has joined and recorded them. If your calendar is connected but meetings aren’t showing up, check that:
  • The meetings have video call links in the calendar event.
  • Auto-join Mode is set to “Join all meetings.”
  • The meetings have actually started (future meetings won’t appear until recorded).
